Report types
How to complete each report type: an ingoing baseline before move-in, routine inspections on a 90-day cycle, and an outgoing report at move-out for bond discussions.
Propero has three condition report types. Each one is created from Property Health on the property hub and needs Propero Pro. They share the same capture rules (a video walkthrough of each room, minimum 5 seconds, talking through what you see) but differ in when you complete them, what they compare against, and how the AI analyses them. See Overview for a side-by-side comparison.
Ingoing report
An Ingoing Report records the property's condition before the tenant moves in. It's the baseline everything else measures against: your Property Health score, later routine inspections, and the outgoing report at end of tenancy. If a previous tenant's outgoing report was approved for this property, the new ingoing report is compared against it too, so you get continuity between tenancies rather than a blank slate every time.
When to complete it
Complete the ingoing report before or at the start of the tenancy. Propero sends an Ingoing report due soon push reminder in the week before the lease starts.
Steps
- Open Property Health from the property hub
- Tap Create Ingoing Report (or Create New Report if you already have a baseline). Requires Propero Pro.
- On the New Report screen, confirm the report type is Ingoing and review the room list
- Mark every smoke-detector room as Tested. Propero blocks the Start button until this is done.
- Tap Start, then record a video walkthrough in each room (minimum 5 seconds each), talking through what you see as you pan
- Tap Submit Report
Room videos upload in the background as you go, and anything left over uploads when you submit. The report moves to Processing, then Pending review once AI analysis finishes. You'll get a push notification for both the upload and when the report's ready.
Review and approve
While a report is Pending review, you can edit each room's elements, add or dismiss issues, add your own notes and photos, and fill in Report Details (meter readings, keys and security notes). See Amending a report for the full editing options, including AI-assisted edits via chat.
When you're happy with it, tap Approve Report. Propero confirms this finalises the report and generates the PDF. Once approved, the report is locked from further edits, and it becomes the baseline your Property Health score and future reports compare against.
For the state entry condition report forms, see Starting a tenancy resources.
Routine inspection
A Routine Inspection tracks how the property is holding up during the tenancy, without waiting until the tenant moves out to find out.
Comparison baseline
Routine reports compare against the most recent approved report of type Ingoing or Routine, whichever is more recent. So each inspection measures change since the last check-in, not just change since move-in.
How it's analysed differently
Unlike ingoing and outgoing reports, which analyse each room independently, a Routine Inspection runs as a single combined AI pass across every room in the property at once, with each room compared to its baseline. This is also the only report type that can flag:
- Hazards: exposed wiring, water ingress, broken railings, gas smell, structural cracks
- Possible lease issues: unapproved pets, smoking evidence, unauthorised modifications, tampered smoke alarms
These only appear when the AI actually detects something. An unremarkable inspection won't manufacture findings.
Meter readings and keys and security notes aren't collected on routine inspections, since those only matter at move-in and move-out.
Steps
- Open Property Health
- Tap Create New Report (requires Propero Pro)
- On the New Report screen, switch the report type to Routine, then review the room list
- Tap Start, then record video in each room (same capture rules as an ingoing report, minus the smoke detector requirement), talking through what you see as you go
- Tap Submit Report
- Review and tap Approve Report when ready
Frequency
Routine inspections run on a roughly 90-day cycle from your last ingoing or routine report. The Property Health pulse card shows where you're at: Good, Due in Xd once you're past 75 days, or Due Soon once you're past 90. Propero also sends an Inspection coming up push reminder within 14 days of the due date, separate from rent reminders. See Understanding Property Health.
Outgoing report
An Outgoing Report documents condition at move-out, compared against this tenancy's approved ingoing report. Use it for bond discussions and your own records.
When to complete it
Complete the outgoing report when the tenant vacates or during the final inspection. Propero sends an Outgoing report due soon push reminder within 14 days of the lease end date.
Steps
- Open Property Health
- Tap Create New Report (requires Propero Pro)
- On the New Report screen, switch the report type to Outgoing, then review the room list
- Tap Start, then record video in each room, same capture rules as an ingoing report: minimum 5 seconds, talking through what you see as you go
- Tap Submit Report
- Review, amend if needed, and tap Approve Report
Like an ingoing report (and unlike a routine inspection), each room is analysed independently rather than as one combined pass. Where a room has a matching approved ingoing baseline, the AI compares against it and can note whether an issue is new since move-in. Without a matching baseline, it can only describe the room's current condition, since it has nothing to compare against.
Meter readings and keys and security notes are collected on the Report Details screen, same as an ingoing report.

Preparing your device
Grant camera and microphone access, record at least five seconds per room, narrate as you pan, and watch for the too dark and privacy warnings.
